Important notice
Before setting up and using the GDPR Management Template it's important to read and fully understand the functionality.
It is our advice that customers who want to start using the functionality have a Mintra consultant supporting the process of building internal routines and setting up the functionality.
Companies using OCS are responsible for interpreting the regulations and implementing procedures to adhere to GDPR regulations. Its Mintras role is to provide the functionality that can be used to set up the data handling procedures that customers decide.
Purpose of the functionality
The purpose is to provide customers with functionality that can be used to manage data of the following categories:
- data that should be deleted when employees are still employed
- data that should be deleted when employees have left the company
- Data/information that needs to be retained for a specific time period when employees are still employed (minimum storage time)
The module allows deleting data from the system in two different ways:
- Automatically delete data on specific criteria.
Please notice that this automatic deletion requires a batch file to be run at specific time intervals. Customers who want to use this automatic functionality need to contact a tech consultant from Mintra to set this up. - Deletion after verification in a separate view.
Some remarks about deleting data from a relational database
In the OCS Oracle database, much of the data is relationally dependent. Consequently, the system will in specific circumstances not allow deleting data if there are other datasets linked to them.
An example of this is asking the system to retain specific payroll information about the employees. To be able to do this the system needs to be keeping some basic data about the employee that received the payment.
